The Arborsoft User Process

Once the time entries have been made online, you’re able to view the details of them within Arborsoft from multiple areas, and can import and process them in a payroll batch at any time.


Viewing Web Entries

Consumer

To view web entries related to a specific consumer, navigate to the consumer module, search up the consumer and click the “Web Entry” tab.

This area will show you all entries related to the selected consumer, and will list details that show if they’re approved, edited, when it was created, who modified the entry last, and more. You can change the date range to only see specific web entries, but any changes to the entries would have to be made within the payroll module once they’ve been imported, or on the web entry website.

The Audit Log will show you entries that have been edited in any way after they’ve been entered. These entries are triggered by the employee or consumer making the change, and will detail who made the last change and when.


Employee

This area will show you all entries related to the selected employee, and works the same as viewing them for a consumer, only listing details for the selected employee that show if they’re approved, and additional details related to the entry.


Payroll Batch

Pending web entries can also be viewed while inside a batch on the “Pending Web Entries” tab. Keep in mind that if you have entries made by consumers that are assigned to a different program than the selected payroll batch is assigned to, those entries will not show.

Importing and Processing Web Entries

Once you’re ready, importing and processing time entries is done via the Payroll module. Whether you import time via web entries or manually enter them, the end result of having all the necessary information for processing payroll remains the same. For reviewing and convenience purposes, processing web entries is split to first importing the entries, then processing them.

 

Details

To Import Web Entries:

  1. Navigate to the Payroll Module

  2. Select the Batch

  3. Click the Time sheets Tab

  4. Click Import

  5. Confirm the Cut Off Date

  6. Click Ok

This process only imports unprocessed time that’s been approved.

Once the time entries have been imported, they will wait in this area until they are processed before moving to the main payroll tab. Once the entries are processed they will either create a new line item for the related consumer/employee on the payroll tab, or add to any existing entries.

You can see that the above entry type is marked as “Online” under the Entry Type field showing it was an imported web entry.

Once the entries have been imported they’re no longer listed online for the consumer or employee as an entry they can view or edit.
